Invoices and Deposits

Once you fill out the booking form, you will be given an initial invoice where a $100 refundable deposit will be paid to hold your date and time. We will then reach out within 24-48 hours to finalize any details and custom quotes. A final invoice will then be sent, where 50% of that final invoice will be paid alongside with a contract that needs to be signed within 24-hours.

The refundable deposit is to reserve your reservation date and to ensure all materials used for the picnic/event are returned in the same condition as left. Anything broken, permanently stained or destroyed will result in the deposit being forfeited. If everything comes back per the policy, you will receive the refundable deposit 24hrs after your event.

The 50% of the initial invoice cannot be refunded, but a credit or rescheduling can be done. Please check the cancellation policy for details.

Cancellation Policy

We do not issue refunds of the 50% deposit placed. However, we are able to reschedule the picnic or issue a credit for future use upon receiving a 7-day or more written notice. Credit must be used within a year time frame from the original picnic date.

If it is less than the 7-days, the client will not receive their 50% credit, but will receive their $100 refundable deposit back. If rescheduling is needed, there will be an additional fee.

Same-day cancellations or no-shows will not receive any credit and their refundable deposit will be forfeited.

BAD WEATHER: We know we cant control the weather, therefore the client will receive credit back for future use or it can be rescheduled for no additional fee even within the 7-days. We might have to move locations or change dates due to weather, to which we will contact you in advance of your picnic reservation to discuss options. We also do offer the clear bubble tent as a last minute add-on if the weather is suitable enough for that. 

Custom Theme

We can absolutely do a custom theme and will work with you to make your vision come to life! Custom themes will be an additional upfront cost that will start at $100+ and will be paid within 24-hours once the final invoice is sent. Once we know what we need to get and do to make it happen, we will send the exact amount in/alongside the final invoice.

Parks and Permits

When choosing a public park, please be aware that we may need to submit a request to the city/county to get permission to set up. In not doing so, we run the risk of getting your picnic shut down. Because of this, we ask that you book 2-4 weeks in advance. You can try to book as soon as 3-days before, and we will let you know if we are able to accommodate, as it is not guaranteed.

Conduct

We do ask that you be mindful of shoes and dirt on the rugs and blankets. We only ask that you take your shoes off for the clear bubble tent. No smoking and vaping. No eating inside teepee tents. No sitting on tables. Do not leave picnic unattended if outdoors.

Location Accessibility

Select a location that is easily accessible. We have a large number of items that are involved with set up. If there are logistical complications or hikes involved, there will be an additional set up fee. We do have pack horses readily available for hikes if needed, for an additional fee on top.

Equipment and Decor Condition

In order to keep our picnics beautiful for all clients, we ask that you please be careful and courteous in keeping equipment, inventory and decor in the same condition as it was left. 

After each picnic, everything is thoroughly cleaned and sanitized: fabrics are laundered, flatware, glassware and silverware are washed and tables and decor pieces are cleaned/sanitized.

Anything broken, permanently stained or destroyed will result in the deposit being forfeited.

Inventory Liability

Do not in any circumstance leave your picnic unattended if outdoors. If you would like to leave your picnic early, please message us 15 mins prior to when you would like to leave and we can accommodate. 

During the duration of your picnic event, you are liable for any lost, stolen, or damaged equipment, inventory or decor pieces. We do not permit the use of any open flame candles at our picnics and we are not liable for any consequences of live fires. 

Photography Rights

We reserve the right to use photographs of your picnic (with no people) that have been taken as well as shared with us or on social media. We reserve the right to use such photographs in promotional materials such as social media and our website.

For photos including people, signing and agreeing to the contract allows us to reach out and ask if we can use any photos. Photos with minors will have a separate waiver that we will ask to be signed for promotional use.

Arizona Heat

Because of Arizona heat, we will NOT be setting up outdoors in the summer if the weather temperatures are projected to be above 105ºF with no shade provided. This does not apply to indoor locations, locations with sufficient shade, or evening picnics.
